Exams Proctored by Testing Services

If your course section has 20 or fewer students with AccessibleNU-approved test accommodations, Testing Services is able to proctor your accommodated exams during our proctoring hours. Regardless of the number of students with test accommodations, Testing Services can proctor for any students with the following test accommodations:

As early in the quarter as possible, please follow the processes below if Testing Services will proctor any exams for your students.

Complete a Testing Services Proctoring Agreement

A Testing Services Proctoring Agreement must be completed once per course section and will apply to all students with test accommodations in that course section.

There are two ways to access and complete a course’s Testing Services Proctoring Agreement:

  • Use the direct link to the Testing Services Proctoring Agreement found in the red outlined box in a student’s accommodation notification email from AccessibleNU.
  • Open the Testing Services Proctoring Agreement in the ANU Faculty Portal’s Alternative Testing Module.

Use this guide to Completing a Testing Services Proctoring Agreement in the ANU Faculty Portal for more detailed instructions and images.

Notify Testing Services Staff via email if the completed Proctoring Agreement for a course needs to be updated (e.g., changes to exam dates/times, aids allowed for exams).

If the Proctoring Agreement will be identical between multiple course sections (e.g., course is cross-listed or multiple sections are offered), Testing Services Staff can assist with copying the Proctoring Agreement across all relevant sections.

Communicate with Students

  • Instruct your student(s) to schedule their test through the ANU Student Portal at least 1 week before the exam to ensure a seat at Testing Services.
  • Although instructors can coordinate with Testing Services for their students to take their exams at our office, instructors are not able to schedule exams at Testing Services for their students.
  • The Faculty Communications page provides information to include in student communication and an email template for informing students of your proctoring plan.
  • Testing Services requires written or verbal faculty approval before approving any student requests for rescheduling an exam appointment.

You will receive a confirmation email when a student’s exam appointment is approved by Testing Services. If you receive an exam appointment confirmation that includes incorrect information (e.g., date or time outside the allowable range or incorrect exam length), please contact Testing Services at testing@northwestern.edu with any needed changes.

Based on the Exam Approval Method indicated in your Testing Services Proctoring Agreement, you may receive emails requiring your approval when students schedule exam appointments.

See the Reviewing and Approving Exam Appointment Requests guide for additional guidance around exam approvals.

Provide Exam Materials to Testing Services

Instructors may submit a copy of their exam file to Testing Services using any of the listed delivery methods. Exam files must be provided at least 48 hours in advance of the scheduled exam time.

  • Upload the exam file through the ANU Faculty Portal.

Use the Uploading Exam Files guide for additional guidance on uploading exams directly to the ANU Faculty Portal.

  • Email a copy of the exam to testing@northwestern.edu.
  • Drop off physical exam copies at the Testing Services Check-In Desk (2122 Sheridan Rd, 2nd Floor).

Please notify Testing Services of any changes made to the exam file after it is submitted to our office or resubmit an updated exam file.

Testing Services Proctoring Process

Testing Services uses a combination of camera monitoring and live proctoring.

Students are expected to abide by 色控传媒’s academic integrity policy and code of conduct found in the Student Handbook.

Unless specifically allowed by the instructor on the Testing Services Proctoring Agreement and/or the exam file’s cover sheet, books, notes, calculators, cell phones, smart watches, tablets, computers, and other non-essential items will not be allowed in the testing room.

While an exam is in progress, students are allowed to leave the testing room only to use the restroom, access the water fountain, or ask a question about the exam. Unless needed to ask a question at the Testing Services Check-In Desk, all exam materials must remain visible in the testing room for the duration of the exam appointment.

Questions During Exams

Testing Services strives to proctor exams at our office in a manner comparable to classroom proctoring.

Please contact Testing Services as soon as possible with any exam corrections, clarifications, or announcements that have been provided to students without test accommodations. Testing Services will share any exam updates with students as they are received.

If students are allowed to ask questions during an exam, the instructor will provide the preferred method and contact information in the Testing Services Proctoring Agreement. Testing Services Staff will contact the instructor and/or their designee (e.g., co-teacher, TA) via phone, email or text message when a student question arises during the exam and provide the subsequent response to the student as it is received.

After a student submits a completed exam at Testing Services, they are no longer allowed to access the exam or its content. Testing Services Staff return completed exam files to instructors as indicated in the Testing Services Proctoring Agreement. Testing Services offers the following return methods for completed exams:

  • Professor/TA pickup from the Testing Services office
  • Upload to the ANU Faculty Portal
  • Canvas exam (submitted by the student via Canvas; no return needed)

Completed exams are typically returned or available for pickup on the day they are taken. All exam files will be uploaded or made available for pickup by 12:00pm the following business day.

Exams for Pickup at Testing Services

Instructors will receive email notification when all exam files for their course are ready for pickup from the Testing Services office (2122 Sheridan Rd, 2nd Floor).

A photo ID or copy of the pickup email from Testing Services is required when collecting exam files. Please indicate on the Testing Services Proctoring Agreement if someone other than the course’s instructor will pick up the exam files (e.g., TA, department liaison).

Instructors must complete the Exam Pickup form at the Testing Services Check-In Desk to receive their exam materials.

Secure Exam File Storage and Disposal

All exam materials provided to Testing Services are securely stored at the Testing Services office unless picked up by the instructor or their designee. Testing Services retains all completed exam files until final grades for the quarter are posted and then securely shreds all exam materials.
